IMPORTANT NOTE
It is incumbent on the Resident & Supervisor to make sure that they are familiar with the College Policies & Procedures. The information provided in the following pages is provided as a guideline only.
How will I be assessed during the ECVDI residency programme?
All residents are assessed as they progress through an ECVDI residency programme by means of the Residency portfolio and a confirmed case diary. It is the residents responsibility to keep these documents up to date and submit them as required.
The credential committee is charged with documenting the fulfilment of residency requirements.
Residency Portfolio
The residency portfolio consists of 3 parts:
- The enrolment form (Form E)
- Annual activity forms (Forms A1, A2 and A3)
- The examination application forms (Form T, TR, P and PR).
All forms should be submitted in electronic form (text document or pdf).
As a resident you are responsible for keeping the portfolio up to date and submitting the appropriate parts by the due dates.
Confirmed case diary
This section applies to all applicants intending on sitting the practical examination from 2013 onwards.
Each resident must keep a confirmed case diary throughout their training programme and must submit this to the credential committee with their first application into the practical examination. It does not need to be re-submitted if a resident applies to re-sit a previously failed practical examination.
The Confirmed Case Diary must contain 150 interesting cases. “Interesting “ is defined as a case that the resident considers to be challenging, unusual or worthy of record for some other reason. Each case must have a known outcome where diagnosis is confirmed by: surgical findings, cytology, histopathology or post-mortem. Small animal and large animal cases can be included and the proportion of each is at the discretion of the resident.
A template for the Confirmed Case Diary is available on the website and the resident is expected to follow this format, but may use a software programme of their choice to record the information. The Confirmed Case Diary must however be eventually submitted to the Credential Committee in either Word or Excel format.

The ECVDI Diploma examination
In order to receive the ECVDI Diploma you must also pass the ECVDI Diploma examination. The examination is divided into two parts: a theoretical and a practical part. Application information is provided under the exam application page. The dates of the examination can be found on the examination calendar, and the format of the examination is found on the examination committee page.
The ECVDI Residency Portfolio
The Residency portfolio is used to keep track of your progress during the training period.
You will enroll into your training programme using an Enrolment form (Form E).
Your progress through the training programme will be monitored by Annual Activity forms each covering 12 months of training (Forms A1, A2, A3). These include sections for the supervisor and programme director to report on your progress and an activity log where the resident details their work during the previous 12 months.
The resident is responsible for submitting these forms to the credential committee by the “due date” shown below.
You can download the timelines which summarise the forms and when they are due.

Supervised externships
During your programme you may have been allocated certain periods of training time at external institutions. It is a requirement that any period of externship be supervised and that the supervisor signs a separate supervised externship form for each period (FORM SE). The periods of training should also be documented in your Annual Activity Form as they will form part of your overall supervised training.
The resident is responsible for keeping the supervised externship forms up to date. These may be requested by the Credential Committee at the end of your training programme to verify your attendance at the external training centres.
